Monitoring is not counting
The difference is cadence. Counting four times a year produces a number so far from the events that caused it that no investigation is possible. Counting weekly, with a daily spot check on your most expensive spirits, produces a variance you can still trace to a shift, a bar and a product.
That only works if the count itself is trustworthy. A weekly count built on estimated bottle levels just gives you noise more often.
What over-pouring costs, with your own numbers
Take a spirit poured on a 1.5 ounce spec. A bartender consistently pouring a quarter ounce heavy gives away roughly one drink in every six. Multiply by the number of pours that product takes in a week, then by your cost per ounce, and you have the weekly cost of one habit on one product. Now do it for the rail.
None of that shows up as theft. It shows up as a beverage cost that is quietly three points higher than it should be, which is precisely the kind of loss a soft count cannot surface.
By outlet, by period, by product class
Stock is held per outlet, so a lobby bar, a banquet bar, a pool bar and a golf halfway house are separate books rather than one pooled figure. Variance is reported the same way, and that is what makes it actionable: a shortfall isolated to one bar on weekend evenings is a conversation, while the same shortfall spread across the property is a receiving or transfer problem.
Multi-property roll-up
Several properties can run on one system, with reporting that rolls up across them and still breaks down to the individual outlet. For a hotel group or a club with multiple venues, that means one set of definitions, one variance report and a head-office view, rather than a separate subscription and a separate spreadsheet per site.
What gets monitored
- Liquor by measured bottle level, including every open bottle
- Wine by cellar, cooler, bin and bottle position
- Beer and kegs as full or empty units
- Dry goods alongside the beverage stock
Sales come across from your point-of-sale system by CSV, by XML, or through a direct API written to the POS vendor’s published specification.

Questions operators ask
What is the difference between monitoring and counting?
Counting is an event. Monitoring is a cadence: a weekly full count plus daily spot checks on high-cost lines, so a variance surfaces while the shift that caused it is still identifiable.
Can we see each outlet separately?
